Policies & Expectations

We understand that plans can change. To be fair to all families and maintain waitlists, our policy is as follows:

• ✦Program Cancellation by Chapter: If we must cancel a class, session, or the full program before it begins, families will receive a full refund (or credit toward a future season).
• ✦Student Withdrawal: Refunds are generally not provided after registration is confirmed, except in cases of documented serious illness, injury, or family relocation outside the service area. Requests must be submitted in writing to info@nljcloudoun.com.
• ✦Partial Season / Make-up Classes: No refunds or prorated credits for missed classes. Make-up opportunities may be offered at the directors’ discretion when space allows.
• ✦Special Circumstances: We review requests on a case-by-case basis with compassion. Please reach out early if you anticipate an issue.

All tuition payments are non-transferable except as noted above.

We expect all students to uphold the NLJC® values of honor, dignity, and respect at every class, event, and venue.

• ✦Students are expected to participate fully, listen attentively, and treat directors, instructors, teaching assistants, fellow students, venue staff, and equipment/decor with courtesy and kindness.
• ✦Disruptive behavior, bullying, disrespect, or unsafe actions will be addressed promptly. Parents will be contacted, and repeated issues may result in removal from the program without refund.
• ✦Parents/guardians are partners in reinforcing these expectations at home and supporting a positive group dynamic.
• ✦Electronic devices should remain off and put away during classes and events unless specifically permitted.

Our goal is always restoration and growth — we work with families to help every student succeed.

Appropriate attire reinforces the elegance and purpose of the program and shows respect for the tradition and our beautiful venues (Belmont Country Club, River Creek Club, Historic Middleburg Community Center, etc.).

For Regular Classes

• ✦Young Gentlemen: Dress suit or blazer combination, collared dress shirt (tucked in), dress slacks or khakis, tie, belt, dress socks, and closed-toe dress shoes or loafers. 
• ✦Young Ladies: Knee-length or longer dress or knee-length/midi skirt with blouse. Dresses and blouses must have a modest neckline. Closed-toe shoes with a low, danceable heel or flats (no stilettos or platform shoes). White, wrist-length gloves are required unless otherwise specified for the event.

For Balls, Presentations, and Special Events

(including Debutante Presentation Ball):

More formal attire will be required for certain events. Parents will be responsible for ensuring their children have correct attire. Specific guidance will be provided with invitations.

By enrolling your child in the NLJC® Loudoun County Chapter, you grant permission for photographs, videos, and other media of your child to be used in promotional materials, including but not limited to our website (NLJCLoudoun.com), social media, brochures, newsletters, and presentations.

Opt-Out Option: If you prefer that your child’s image not be used, please notify us in writing at the time of registration or by emailing info@nljcloudoun.com. We will make every reasonable effort to accommodate your request.

• ✦Please disclose any allergies, medical conditions, or special needs on the registration form or by contacting us directly.
• ✦We will make reasonable accommodations where possible (e.g., seating, activity modifications). However, we cannot guarantee an allergen-free environment at all venues.
• ✦In the event of a medical emergency, we will contact parents/guardians and emergency services as needed.

• ✦Regular attendance helps students build skills and relationships. Please notify us in advance of absences when possible.
• ✦Make-up classes may be offered at the directors’ discretion when space and scheduling allow.
• ✦We communicate primarily via email. Please add our addresses to your safe sender list and check regularly for updates, reminders, and event details.

• ✦Students must remain with the group and follow director instructions at all times.
• ✦Parents/guardians are responsible for timely drop-off and pick-up.
• ✦We partner with excellent private venues and expect students and families to treat facilities and staff with respect.
• ✦The chapter reserves the right to adjust schedules, locations, or formats as needed for safety or operational reasons.

Participation in NLJC® programs involves normal risks associated with group activities, dancing, and social settings. By enrolling, you acknowledge these risks and agree that the NLJC® Loudoun County Chapter, its directors, and partner venues are not liable for injuries or losses except as required by law.

These policies supplement the National League of Junior Cotillions® Privacy Policy & Terms of Service.
